Flight Information

 

Please book your own flights prior to registering into and out of Atlanta (ATL) and submit for reimbursement to events@culturalcare.com via Expensify. Book your flight to arrive by Friday, November 9th at 5:00 PM EST and depart Sunday, November 11th after noon.

If you have any questions with booking, please reach out to events prior to booking your flight and registering. When emailing events, please be sure to include your home gateway in the email. There will be no flight budget exceptions after September 14th.

East Coast & Mid-West: $300

New York (all airports): $350

Denver: $300

Seattle: $450

West Coast: $500

*Terms and conditions: All budgets are for round-trip flights from your home gateway to Atlanta and include all fees and taxes. Transportation to and from your home and/or parking at your gateway are not eligible for reimbursement. Any baggage, booking, upgrade, insurance or seat fees will not be reimbursed by Cultural Care. If you use Frequent Flier miles or previous airline credits to pay for your flight, you will not be reimbursed for your flight.

How do I get reimbursed for my flight?

All expenses must be submitted through Expensify to events@culturalcare.com. With any questions on how to submit you may reference this Expensify help sheet

I booked my own flight. I now have a conflict and need to change my ticket for personal reasons. My new flight is over budget – will CCAP reimburse me?

No. After booking, you are responsible for any fees incurred.

 

I booked my own flight. I now have to cancel my attendance at the meeting/incentive trip and have already received my reimbursement from Cultural Care. What should I do?

If you have already received your reimbursement, you will need to contact the airline to see if you can receive a refund or travel voucher. The reimbursement should be repaid to CCAP up to the amount of your refund or travel voucher. CCAP will need a copy of the airline refund/travel voucher amount sent to you by the airline. If you are unable to receive a refund or travel voucher, you will need to get this in writing from the airline and submit it to CCAP to ensure that you will not need to reimburse CCAP. All documents from the airline can be submitted to: events@culturalcare.com. Please also see the “Cancellation Policy” at the end of the registration form.

 

Can I book my own flight using my own rewards miles through an airline?

No. We are only able to process reimbursements paid by credit card and are unable to reimburse for frequent flier miles or Airmiles used to pay for a flight.

 

The only flights within budget depart at 6 or 7am and I don’t want to leave that early/have to work/have to get the kids to school (or vice versa – the flights land at 10pm/11pm and the kids have school next day/work next day/etc) can you increase the budget so I don’t have to leave/arrive this late? No. The flight budgets are designed to get you to and from the conference by the allocated times. Unfortunately since we have people flying from all over the country we cannot accommodate all personal time requests.

 

Airport transfers

LCC transfers will only be provided on Friday, November 9th and Sunday, November 11th. If you choose to arrive before or depart after these dates the cost is completely on your own. Staff who wish to depart outside their designated arrival and departure dates will be responsible for the cost of their transportation.

Hotel Information*

Omni Atlanta Downtown

Cultural Care will cover the cost of a shared room from Friday, November 9th through Sunday, November 11th. For newer LCCs who are personally invited to the new LCC workshop by your Recruitment and Training Manager, you will also receive a shared hotel room Thursday night. 

Roommates:
If you wish to request a roommate, please be sure that you are both planning to arrive/depart on the same days and that you request eachother in the registration. We will do our best to accommodate your request but  cannot be guaranteed.

 

Single Rooms:
If you wish to have your own room, you must request this for the duration of the meeting (single rooms will not be given on a per night basis) and pay the single supplement fee. A single room may be purchased for Friday – Sunday $180 inclusive of tax.
*For new LCCs arriving Thursday, the single supplement fee is $270.
*Platinum and Gold LCCs receive a single room from Friday - Sunday



Extra Nights:
If you wish to arrive early or stay late, you may do so at your own cost. 

Guests:
Cultural Care Au Pair does not encourage guest attendance to the National Meeting due to the content and purpose of the weekend. We want LCCs to be able to focus on training, networking, and having fun! Please email events@culturalcare.com if you have questions on this.
 
Should your schedule not permit you to attend alone and you will be bringing a family member (spouse, child, infant) then you must request a single room. We will not permit non-LCCs to room with LCCs. Guests will not be permitted to attend any of the National Meeting meals, events, or sessions.
